The short answer
- QuickBooks Online lists Simple Start at $38, Essentials at $85, Plus at $140 and Advanced at $340 a month; Essentials, Plus and Advanced went up on renewals from August 1, 2026.
- Intuit stopped selling QuickBooks Desktop Pro Plus, Premier Plus and Mac Plus to new US subscribers after September 30, 2024, and Desktop 2023 lost payroll, online banking and live support after May 31, 2026.
- Whatever you move to should import your full General Ledger, not just opening balances, and its trial balance should match QuickBooks to the penny on your cutover date.
- Move at a month end, reconcile the first month in the new system, and export your reports before QuickBooks Online's read-only access ends, one year after you cancel.
Why people are leaving QuickBooks in 2026
Three changes from Intuit make 2026 the year to look hard at your QuickBooks plan. Each one is on Intuit's own pages.
| Product | What happened | When |
|---|---|---|
| QuickBooks Online Essentials, Plus, Advanced | Price increase. List prices are now $85, $140 and $340 a month | Renewals on or after Aug 1, 2026 |
| QuickBooks Online Simple Start | Not part of the increase; still $38 a month | Current |
| Desktop Pro Plus, Premier Plus, Mac Plus | No longer sold to new US subscribers. Existing subscribers can renew; Enterprise is not affected | After Sept 30, 2024 |
| Desktop 2023 (Pro Plus, Premier Plus, Enterprise 23.0, Mac Plus) | Discontinued: payroll, online banking, live support and critical security updates stop | After May 31, 2026 |
| Desktop 2024 | Intuit calls it "the latest and last annual release" | Current |
Simple Start, Essentials, Plus and Advanced include 1, 3, 5 and 25 users, so adding people can mean moving up a tier. Recent subscribers keep their price for six months, and the new price starts with the seventh invoice. The full history of the increases is in QuickBooks Online's 2026 price increase.
Still on Desktop 2023? Online banking downloads stopped after May 31, 2026, so your transactions since then may exist only in your bank statements. Here is what Desktop owners can do now.
QuickBooks may still be the right tool for you. Your renewal date is simply the natural time to check.
What to look for in a QuickBooks alternative
Test each of these with your own books during a trial, not with a sample company.
| Check | What to test |
|---|---|
| Full history import | Your General Ledger comes in with every transaction, not just opening balances. Last year's profit and loss should run in the new system. |
| Reconciliation | You can tick cleared items against a bank statement, finish at a $0.00 difference and keep a report for each statement. |
| Cash and accrual reports | Profit and loss, balance sheet, trial balance, general ledger, and A/R and A/P aging, on either basis. |
| Invoicing and bills | Open invoices and unpaid bills arrive one by one, so the next payment has something to apply to. |
| Client access | For bookkeepers: one login for many businesses, and what each extra client file costs. |
| Export | The general ledger, trial balance and every report export to Excel or CSV whenever you want. That is your way out. |
| Predictable price | A published price, and the limit that pushes you up a tier: users, invoices, bills or businesses. |
How to switch from QuickBooks, step by step
- Pick a cutover date at a month end. The last day of your fiscal year is best (December 31 for most small businesses). Your statements end there and each year's reports live in one system.
- Finish the month in QuickBooks. Reconcile every bank and card account through the cutover date. Run A/R and A/P aging and void or pay anything that is not really open.
- Save the reports you will compare against. As of the cutover date: trial balance, balance sheet, A/R aging and A/P aging. Add a profit and loss for each year. Keep PDF and Excel copies.
- Export or connect. On QuickBooks Online, Settings > Export data saves reports and lists as Excel files in one .zip, and attachments export from the Attachments list. If the new system connects to QuickBooks Online, use the connection instead. On Desktop, run Reports > Accountant & Taxes > General Ledger with Dates set to All and export it to Excel.
- Import, then tie out to the penny. Compare the new trial balance with QuickBooks' on the cutover date, account by account. Check each bank and card balance against its statement, and A/R and A/P against the aging reports. A difference of $0.01 still has a cause. Find it while both systems are open.
- Reconcile the first month in the new system. The first statement after cutover proves the opening balances and the new bank feed together.
- Keep QuickBooks for records, then let it go. Export everything you may need before access ends (the table below says when).
Worked example: tying out a move at December 31
Say a cleaning company moves at Dec 31, 2026. Its QuickBooks trial balance shows Checking at $24,310.40, Accounts receivable at $8,950.00 and Accounts payable at $3,215.60.
| Account | QuickBooks | How to prove it | New books |
|---|---|---|---|
| Checking | $24,310.40 | Statement $25,060.40 minus one uncleared check of $750.00 = $24,310.40 | $24,310.40 |
| Accounts receivable | $8,950.00 | Four open invoices: $2,400 + $3,150 + $1,900 + $1,500 = $8,950 | $8,950.00 |
| Accounts payable | $3,215.60 | Two unpaid bills: $1,980.10 + $1,235.50 = $3,215.60 | $3,215.60 |
All three match. Now suppose the new A/R had shown $7,050.00. The $1,900.00 gap is exactly one invoice, so that invoice did not come across, or it was paid in QuickBooks after you exported. Find it now, not when the customer pays it in February.
How long you can see QuickBooks after you cancel
| Where | How long | What to do |
|---|---|---|
| QuickBooks Online, paid plan | Read-only for one year after you cancel | Export to Excel within that year |
| QuickBooks Online, free trial | 90 days | Export within 90 days |
| QuickBooks Desktop, lapsed subscription | View-only mode lasts a year, per Intuit's cancellation policy | Run and save your reports while the file opens |
| IRS general rule | 3 years from when you filed | 4 years for employment tax records; 7 years for a bad debt or worthless securities claim |
The gap is real. Say you cancel QuickBooks Online on Jan 31, 2027 and file your 2026 return on April 15, 2027. Read-only access ends around Jan 31, 2028, but under the IRS's general 3-year rule that return stays open until April 15, 2030. That is more than two years with no QuickBooks to look in. Export the general ledger, the trial balance and each year's profit and loss before you cancel.
Mistakes to avoid when you leave QuickBooks
- Moving mid-month. Half of a statement lands in each system and neither reconciles cleanly. A deposit in transit on cutover day gets counted twice or not at all.
- Importing balances only. A trial balance brings opening balances and no transactions. Last year's profit and loss, your vendor totals for 1099s and the detail behind every balance stay in QuickBooks.
- Not checking open invoices and bills. The A/R total can match while individual invoices are missing. When that customer pays, there is no invoice to apply the money to, so it gets booked as new income: the sale is counted twice and the old A/R never clears.
- Uploading a .QBO file as your books. A .QBO file is a bank download, not your ledger.
- Leaving out classes. If you track classes or locations, add those columns to the General Ledger report before you export.
Where BooksGPT fits
BooksGPT is one option, and it takes both QuickBooks paths. A QuickBooks Online company connects directly and is checked against QuickBooks' own trial balance; nothing is written back to QuickBooks. A Desktop General Ledger export is previewed first, so you see that debits and credits balance and how each account will be typed before anything posts. The import page shows what else it reads.
| QuickBooks Online | QuickBooks Desktop | |
|---|---|---|
| How the books move | A direct connection: sign in to Intuit and pick the company | An export: the General Ledger, Dates set to All, saved as Excel |
| How much history | You choose how far back; All time brings every balance in from the start | Every date in the file. Very large books go one year per file, selected together |
| Classes and locations | Come across with the connection | Add the Class and Location columns before exporting |
| The check | Every account compared with QuickBooks' trial balance | Debits and credits must balance; you confirm each account's type |
| Open invoices and receipts | After the books: you pick which QuickBooks invoices to bring as documents, and receipts and attachments have their own step | Not part of a General Ledger file |
| Step by step | Import from QuickBooks Online | Import from QuickBooks Desktop |

What to do before your next QuickBooks renewal
- Find your renewal date in your QuickBooks billing settings, and put it on your calendar.
- Export your General Ledger and trial balance today. It costs nothing and it is your copy either way.
- Try an alternative with that General Ledger, not with sample data.
- Pick a month end as your cutover date and work through the steps above.
Questions
How long can I see my QuickBooks Online data after I cancel?
Intuit says you keep read-only access for one year after you cancel a paid subscription, and you can export to Excel during that year. If you cancel during a free trial, or the trial expires, the data is available for 90 days.
Can I switch accounting software in the middle of the year?
Yes, as long as you switch at a month end and bring the year's full transaction history with you. Otherwise this year's profit and loss and your vendor totals for 1099s are split across two systems.
Is a trial balance enough to move my books?
A trial balance gives you opening balances only, with no transactions behind them. Last year's reports, the detail behind each balance and your vendor payment history stay in QuickBooks.
Can I still use QuickBooks Desktop 2023?
Intuit discontinued Desktop 2023 after May 31, 2026. Payroll, online banking downloads, live support and critical security updates have stopped for that version.
What file do I export to move my QuickBooks books?
The General Ledger report with every date included, saved as Excel. A .QBO file is a bank download, and the company file itself opens only in QuickBooks.
