Head to head

The one most of you are leaving.

QuickBooks Online Essentials is the most common starting point. Here's how the two pencil out for a typical 1-10-person business that needs real books.

The math, over five years

What each one costs across five years.

Software only. Bookkeeper labor and CPA filing not included (they're equal across columns since you'd need them either way. Though BooksGPT removes the need for a bookkeeper entirely).

Software cost · 1 business · 60 months

Each vendor's mid-tier plan (Essentials / Growing / Pro / Plus). Prices from each vendor's US pricing page as of May 2026. No promo discounts applied.

Where we lose: QuickBooks has more third-party app integrations (we have ~30, they have 750+). Xero has stronger non-US tax handling. FreshBooks has a more developed time-tracking module. If those are your top priority, the math is different.

Honest verdicts

Who each of these is actually for.

We sell BooksGPT, but we'd rather you pick the right tool than the wrong one. Here's our take.

QuickBooks
The incumbent

Still the choice if your CPA has spent 15 years in QuickBooks and refuses to switch, or if you need 500+ third-party integrations. Otherwise, you're renting books software you'll outgrow paying for.

Best for: CPA-dependent firms; established mid-market businesses.
Xero
The global one

The right call if you operate across multiple countries, especially Commonwealth (UK / AU / NZ). Better non-US tax handling than anyone else on this page. US-only? It's just a more expensive QuickBooks.

Best for: Multi-country SMBs; non-US accountants.
Wave
The free one

Free is genuinely free for the bookkeeping. Pay only for payments and payroll. Perfect for a first-year solo with no transactions. Outgrow it the moment you need real reports or a real ledger.

Best for: Year-one freelancers; very small side businesses.
FreshBooks
The invoicer

Beautiful invoicing, gorgeous time tracking. Bookkeeping was bolted on later and it shows. Pick it if invoicing is 80% of your daily workflow and bookkeeping is once-a-month chore work.

Best for: Hourly service businesses; freelancers who bill clients hourly.

You've done the math. Try the other one.
