QuickBooks Online, connected
Connect once. Your books and documents follow.
Accounts and full history
Choose how far back. Your chart of accounts and transactions come across, with classes and locations, and are checked against QuickBooks' own trial balance.
Customers, vendors and invoices
After the ledger, the connection brings your customers, vendors and items, and the bills and invoices behind your transactions.
Receipts and attachments too
Once connected, Receipts and attachments on the same card brings receipts, check images and bill PDFs across, with a preview first. The connection is read-only.

“The ease and quickness in import QBO as well as the bank setup. It's quick and quick to categorize as it learns from QBO and also learns right away when you code something.”BooksGPT review on G2, Sep 4
Drop in an export
Your accounts and history, from one file.
QuickBooks Desktop or Online
Export the General Ledger as Excel. From Desktop, set Dates to All; very large books can come one year per file, selected together.
Xero, Wave and Zoho Books
Xero's General Ledger Detail on Accrual, Wave's accounting.csv or Account Transactions, or Zoho Books' General Ledger. Each file shows a preview of what it found before it imports.
Quicken, in one file
One QIF export brings every bank, card and cash account. Your categories become accounts, and each transaction waits in To review with its Quicken category suggested.
Your bank feed stays
Feed rows held, not counted twice.
Unreviewed rows wait On hold
Bank feed transactions nobody has reviewed yet, dated inside the imported books, wait On hold in the Inbox as possible duplicates. You keep or exclude each one.
Or import through a date
For a file that overlaps your feed, the preview can offer Import through a date, so your bank feed keeps everything after it.
Reviewed work stays put
If bank feed transactions you already reviewed, matched or reconciled fall on those dates, nothing is imported over them: the import stops, or only imports up to the day before they start.
Check it before you switch
Make sure the numbers agree first.
Debits and credits must balance
A General Ledger's preview says Debits and credits balance at its total. A file that doesn't pass the checks shows a red bar, and nothing is imported.
Verified against QuickBooks
A QuickBooks Online import is checked against QuickBooks' own trial balance. When they agree, the Accrual ledger shows Verified through the last date it covers.
Compare your Balance Sheet
When an import completes, it offers your Balance Sheet on the last imported date. Compare it, and your Trial Balance, with your old software.
How it works
Questions, answered.
Through the connection: your chart of accounts and transactions for the dates you choose, your classes and locations, then your customers, vendors and items, and the bills and invoices behind your transactions. Receipts and attachments come across in their own step on the same card. The connection is read-only, so BooksGPT never writes back to QuickBooks.
Your accounts and your transaction history. Customer and vendor lists are not part of a ledger file. From Xero, you can upload its invoice export on Invoices once the books are in. A Trial Balance brings opening balances only, with no transactions.
With a General Ledger export, not the company file. In QuickBooks Desktop, run the General Ledger with Dates set to All, add the Class column if you track classes, and save it as Excel. Very large books can be exported one year per file and selected together. Each Desktop import replaces the one before.
From Xero, the General Ledger Detail report on Accrual, starting on the first day of a financial year. From Wave, accounting.csv from Settings, Data Export, or the Account Transactions report on Accrual (Paid & Unpaid), one year per file.
Depending on the file, bank feed transactions nobody has reviewed yet wait On hold as possible duplicates, or the preview offers Import through a date, so your bank feed keeps everything after it.
The workspace owner or a bookkeeper, because importing a General Ledger restates the books.
